  Check List for FAIM Team Leaders

Introduction

Below is a check list of things to do when organising a FAIM Project.  It is intended as a supplementary guide to the  Volunteer Information Manual.

Early On

Develop Interest - Arrange Speakers for Club Meetings.

· Determine what interest there is among Members. Discuss possible projects with potential team members. Do they have preferences?

· Hand out:

· FAIM Newsletter with latest list of projects
· FAIM handbook and

· Do they have times when they will not be available?

· Determine what skills they have. Does the skills being offered limit the projects you can choose from?

· Determine whether there are other non Rotarians who would be interested especially if they have skills required

Decide on the Project

Useful Background Information to Find Out About Project

Find out in first instance from FAIM co-ordinator or previous team leader

· Check minimum and maximum numbers, ie. minimum numbers for project to be viable and possible maximum number, possibly limited by accommodation available or possibly by the capacity of the vehicle provided by the local Rotary Club.

· Status of project (we will be first team)

· What tools are required to be taken with the team and what will be available there?

· Availability of power? Mains or generator? ie. Can power tools be used or must all tools be hand tools.

· Is power in available in the evening ? - Until what time ?

· Is the village dry. ie. Is alcohol not approved of in the village? Need to respect local traditions/values.

· Will team also be training local apprentices ? How many ?

· Quality of water available? - Fresh, Tank etc. Will purification tablets be required? Or any other precautions?

· What activities are there at the end of the project? Should team consider staying a few extra day ?

Before First Meeting

· Understand requirements re malaria, and vaccinations

· List of action points for everyone

· Arrange:

· Volunteer Application Form  (also available in Word Format   or  RTF Format 
· Volunteer Medical Form   (also available in Word Format   or  RTF Format
· Passport application forms (available from Post Office)
· Visa application forms

First Meeting

· Go through the Volunteer Information Manual.

· Discuss medical issues - malaria, and vaccination requirements

· Each Volunteers to arrange:

· Completion of applications

· Money - cheques payable to Rotary Australia World Community Service Overseas Aid Fund

· Passports

· Complete Visa application form

· Visit their doctor for medical certificate

· Spell out time deadlines for above

· Discuss options if considering spending an extra few days

Find Out From Host Rotary Club Contact or Previous Team Leader

· Determine whether need presents/gifts for welcome and farewell

· Security of personal belongings while on project eg. Passports etc.

· Technical details and if possible get copy of plans/specs. etc.

· Bed Linen, towels and cutlery/crockery required?

· Food is provided? Does team do its own cooking?

· Best form of money?...cash/travellers cheques/credit cards

· Is team being provided with vehicle when on project?

· Beer availability when on project. Permitted? Available? Expensive?

Second Meeting - Action points for everyone

· Collect from everyone (to send to RAWCS):

· Completed application forms
· Money - cheques payable to Rotary Australia World Community Service
· Passports (required for RAWCS to arrange visas)
· Complete Visa application form
· Completed medical certificate

· Discuss insurance cover provided by Rotary

· Who is taking what:

· Tools
· Medicine and first aid kit and sun cream
· Team video camera

Other things to think about

· Rotary T Shirts (and caps) for team

· Club Banners

Post Trip Action Points

· Prepare report for RAWCS Regional Project Coordiantor with photos (also send copy to District RAWCS Committee)

· Prepare report for next team

· Send thank you letters to hosts etc.

· Consider an article for Rotary Down Under with photos

· Details of value of donation of tools (or other donations) to RAWCS (require to maximise RAWCS allocation of funds from AusAID the following year)
(for inclusion in the total to be submitted to AusAID as part of the process to obtain grants for aid projects the following year)
